How plans work

Plans belong to workspaces, start on Free, can be tried without a card, and are shown with usage meters on the Plan page. Prices are on the pricing page.

Prices, and the current list of what each plan includes, are on the pricing page. This article explains how plans behave inside the product.

A plan belongs to a workspace

Every workspace has a plan, not every person. When you sign up, your personal workspace starts on the default plan, called Free. If you create another workspace, it starts on Free too. Members of a workspace share its plan, and moving between workspaces with the switcher moves you between their plans.

The starter plans are Free, Pro, Team and Enterprise. Enterprise is set up by hand for one workspace, with limits agreed with the team. An administrator can also adjust an individual limit for a single workspace, and that adjustment takes priority over what the plan says.

The Plan page

Select Plan in the sidebar, which also shows the name of the current plan. The page is called Plan and billing and has:

  • Current plan: the plan name, its price, when it renews if it does, and a badge if it is a Trial, Complimentary or Payment overdue.
  • Usage: a meter for each measured limit: Responses this month, Live forms, File storage, Team members and Webhooks. A meter reads "Not included" when the plan has none, "Unlimited" when there is no cap, and "Limit reached. See plans" when it is full.
  • Plans: a card for each published plan, with a Monthly and Yearly switch and a checklist that starts from "Everything in" the plan below.
  • Invoices: a table, empty until you have paid ones.

Every member can look at the page. Only the workspace owner can change the plan; for everyone else the plan buttons say Ask an owner.

Trying a paid plan

A paid plan can offer a free trial, and it needs no card. The card shows how many days ("14 days, no card needed" on the starter plans, where the length is set per plan), and the button starts it at once. Each workspace can take one trial, on one plan. During it the page shows the days left, and everything in that plan is available.

When the trial ends the workspace returns to Free. Nothing is deleted.

Getting a paid plan

For a paid plan the button is Request followed by the plan name, or Talk to us for Enterprise. Formwork records your request, and the team follows up by email. Where online payment is not switched on, a note under the plans says so: "Online payment is not switched on for this installation yet."

A paid subscription that has passed its end date keeps working for 3 days, and one marked as overdue for 7, before the workspace falls back to Free.

Going back to Free

Owners of a workspace on a manually managed paid plan see Switch to Free. The confirmation says nothing is deleted. Forms, responses, files and members stay. What changes is what the workspace is allowed to do from then on; see When you reach a limit.

Where limits are enforced

Plan checks happen on the server. The interface shows locks and plan chips as hints, but hiding a button never replaces the check. For example:

  • A locked question type carries a Pro chip in the type picker. You can add it to a draft and try it, and publishing is what is refused.
  • A blocked action shows a message such as "Another live form needs the Pro plan." with a way to reach the Plan page.

Typical places a check runs: publishing, saving certain settings, creating a custom link or results link, inviting people, exporting to Excel or JSON, opening Insights, creating API keys, adding webhooks, uploading files and accepting a response. Drafts are never restricted

You can build anything on any plan, and preview it. The plan matters when you publish. That means you can try logic, quizzes, all question types and full themes before deciding whether you need them.
