When you reach a limit

What happens to forms, responses, uploads, invitations and webhooks when a workspace hits a limit or uses a feature its plan does not include.

What you will see

When something is blocked by the plan, the message names the thing and the plan that includes it, for example "Another live form needs the Pro plan." In the builder and on the Settings tab you get an upgrade prompt; on other pages you are sent to the Plan page with a note saying which feature it is about. The Plan page's usage meters also turn to "Limit reached" when a cap is full.

Nothing is deleted when a limit is reached.

Live forms

A form counts as live when it has been published and is Live or Closed. Drafts, archived forms and forms in the trash do not count.

The limit is checked the first time you publish a form, and publishing that form is refused at the limit. New versions of a form that is already live are not counted again, and live forms are not switched off if the plan changes. To make room, archive a form or move one to the trash.

Responses per month

Responses are counted for the whole workspace by calendar month, in UTC. Only submitted responses count. Editing a response does not add to it.

When the count reaches the plan's limit:

  • Every form in the workspace stops taking new responses. Visitors see "This form is not taking new responses right now. Please try again later." A person who is partway through a form cannot submit either.
  • Each owner of the workspace gets an email, "You have used this month's responses", with a link to the Plan page.
  • Everything already collected stays readable and exportable.
  • Counting starts again at the beginning of the next month, or as soon as the plan allows more.

This is separate from the response limit you set on a single form, described in Opening, closing and limits.

File storage

Storage is the total size of the files respondents have uploaded across all the workspace's forms. When it is full, uploads are refused with "This form has run out of file storage. Please contact the form owner." A plan with no storage refuses them with "File uploads are not available for this form." Deleting responses frees space, and so does deleting a form.

Form questions that need file storage, file upload and signature, cannot be published on a plan without it.

Team members and webhooks

Pending invitations count towards the member limit as well as current members. At the limit, inviting someone is refused with a message like "Adding team members needs the Team plan." Cancel an invitation you no longer need, or remove a member, to free a place.

The webhook limit counts endpoints across all forms in the workspace. At the limit, adding another is refused, and existing endpoints keep delivering.

Features a plan does not include

These are on or off for the whole workspace. Some checks run when you publish, so a form that is already live carries on as published until you publish it again. Others run when you use the feature.

Some effects show up without any action of yours: digests are not sent, receipts are not emailed, and the badge comes back on forms when the plan no longer allows removing it.

After a downgrade

  • The monthly response cap and the storage limit apply at once.
  • Forms that are live stay live, but you cannot publish new changes that use a feature the plan lacks. Remove the feature, or upgrade, first.
  • A password or response limit saved earlier stays saved. You can remove it, but you cannot set a new one until the plan allows it.
